Admin Officer

Admin Officer

Tasks:

  1. Handle issues and direct them to the right department.
  2. Propose and Implements procedures which improve the efficiency of support services within the compound.
  3. Follow up on any issues related to government, consultancy offices and contractors.
  4. Works as a focal point in finding solutions to arising problems for internal and external clients and work on Ad-hoc duties as required to assist the team.
  5. Handle Regular/Ejar contracts provided to company and follow up contract issues.
  6. Maintain and build filing system to track files of all types and organize company documents into updated filing systems including physical and digital employee, tenant, departments and projects records and submittals through Document Progress Reports. Maintain highly organized filing system for leases, tenants, insurance certificates, vendors, buildings, drawings, contracts and POs.
  7. Schedule, organize and prepare agendas and detailed minutes for in-house and external meetings
  8. Write and distribute email, correspondence memos, letters, faxes and forms
  9. Issue/follow up Purchase Orders and manage office supplies and other purchases Process and report on office expenses.
  10. Assist with the scheduling of contractor work and coordinate with tenants.
  11. Contribute toward overall office operational needs by helping to provide phone coverage, ordering supplies.
  12. Maintain and update company databases
  13. Prepare Infographics, presentations, spreadsheets and reports.
  14. Maintain reported Risk Management Policies and Incidents immediately upon occurrence and emergency contact information as well as a master tenant contact e-mail address listing.
  15. Provide high quality of customer service, update and maintain current daily and emergency tenant contact lists and tenant information manuals.

Requirements:

  • Saudi
  • Bachelor/Diploma
  • Fresh or 1-3 years experience
  • Good English language
  • Good communication skills
  • Meet and negotiate the clients

Collection Specialist

Job Description:

Collection /Collector will contact clients and collect outstanding payments. You will struck a balance between maintaining trustful relationships, and ensuring timely payments.

Our collection / collector should exhibit professionalism and trustworthiness. You should have excellent communication and negotiation skills, as well as an ability to work independently.

Tasks:

  1. Create and input invoices though ERP - SAP system
  2. Follow up on the entire invoicing cycle by providing customer service regarding collection issues, on hold list, process and review account adjustments, resolve client discrepancies and short payments
  3. Regularly communicate and meet with clients and partners to resolve all related issues
  4. Find and contact clients to ask about their overdue payments
  5. Responsible for monitoring and maintaining assigned accounts
  6. Must communicate & follow up effectively with sales and finance departments regarding customer accounts
  7. Perform other assigned tasks and duties necessary to support the Accounts Receivable Department
  8. Weekly and monthly reporting to direct supervisor or Manager
  9. Participate in team review meetings
  10. Visit Saudi Aramco when its need
  11. Undertake any other specific duties as required by the supervisor or the Manager.
